Candidate Privacy Notice

Depending on what you provide, PFP may collect:

• Name, email address, phone or WhatsApp number and date of birth.
• Gender, occupation, education and languages spoken.
• State, district, locality, constituency and local-area connection.
• Community-service, leadership, employment and political experience.
• Skills, policy interests, constituency problems and proposed priorities.
• Legal, regulatory, disciplinary, conflict-of-interest and public-controversy disclosures.
• Public profile links, a photograph and optional supporting documents.
• Availability, public-service commitment, consent and declaration records.
• Technical records associated with form security and submission, such as time, browser or network information where generated by the website or security systems.

Do not submit Aadhaar, passport, PAN card, voter identification, medical records, private financial records or other unnecessary identity information at the initial-interest stage.

PFP may use candidate information to:

• Review whether an application is complete.
• Understand experience, local connection and public-service work.
• Assess suitability for further conversation, community work or candidate screening.
• Review disclosures, possible conflicts and relevant publicly available information.
• Contact the applicant for clarification or next steps.
• Prevent fraud, impersonation, abuse or misleading submissions.
• Maintain authorised internal records of the candidate-interest process.
• Comply with applicable legal, regulatory and electoral requirements.

PFP will not treat a complaint, arrest, charge, public allegation or online claim as proof of wrongdoing without appropriate review.

If an application progresses, PFP may request clarification, references or identity documents through a separate verification process.

PFP may review publicly available information relevant to candidate suitability, including public professional profiles, public statements, media reports, court or regulatory records and election-related records where lawfully available.

A disclosure does not automatically disqualify an applicant. Concealment, false information or misleading documents may affect the application.

Candidate information should be accessible only to authorised PFP personnel or approved advisers who require it for candidate review, privacy administration, legal review, technical support or security.

PFP will not publish candidate information merely because it has been submitted. Information may be disclosed where required by applicable law, a lawful authority, court order or valid regulatory process.

This access-control statement must be supported by actual restricted WordPress, Fluent Forms, email and hosting permissions.

Candidate information may be processed through services used to operate the website and workflow, including website hosting, WordPress, Fluent Forms, email delivery, security, backup and authorised relationship-management systems.

These providers may process information as necessary to deliver their services, subject to their applicable terms, contractual arrangements and security controls.

The Candidate Interest form may allow an applicant to save progress and continue later. Information already entered may be stored before final submission.

A unique continuation link may be displayed or sent to the email address provided. Anyone who obtains that link may be able to reopen the saved application. Keep it private and do not forward it.

Saving progress does not submit the application. The applicant must return, complete all required sections and use the final submit button.

PFP intends to retain candidate-interest information only for as long as reasonably necessary for assessment, verification, legal obligations, dispute handling and authorised recordkeeping.

PFP’s detailed retention schedule is being established. Candidate information should not be retained indefinitely. Applicants may contact PFP to ask about the retention status of their submission.

A specific deletion period should be added only after PFP has adopted and operationalised a retention schedule.

PFP aims to use reasonable administrative, technical and organisational safeguards, including restricted access, strong authentication, software updates, backups, security monitoring and controlled handling of uploaded documents.

No online system can guarantee absolute security. Applicants should avoid submitting information that has not been requested.

Subject to applicable law and identity verification, an applicant may ask PFP to:

• Confirm whether candidate information is held.
• Correct inaccurate or incomplete information.
• Withdraw from the candidate-interest process.
• Request deletion where retention is no longer required.
• Ask how information is being used.
• Raise a privacy complaint.

Withdrawal may prevent PFP from continuing the application.

Submitting candidate interest does not automatically provide consent to receive unrelated fundraising, marketing or general political campaign messages.

Where PFP wishes to send optional newsletters, campaign updates or WhatsApp messages, separate consent should be requested.

The Candidate Interest process is not intended for persons under 18 years of age. Do not submit a Candidate Interest form if you are under 18.

PFP may update this notice when the candidate process, technology, legal requirements or data practices change. The latest version and last-updated date will be published on this page.
